We are seeking a detail-oriented and proactive Accounts & Finance Executive to manage TRACE's day-to-day financial operations. The role will be responsible for maintaining accurate financial records, supporting budgeting and project-level financial management, processing payments and reconciliations, ensuring proper statutory documentation, and supporting management reporting and audits. The position will play an important role in maintaining strong financial controls and supporting the smooth delivery of TRACE's projects and operations.

Key Responsibilities

  • Manage day-to-day accounting operations, including bookkeeping, ledger maintenance, vouchers, petty cash, and complete supporting documentation.
  • Maintain accurate cash and bank records and prepare regular bank reconciliations.
  • Process payments, invoices, reimbursements, advances, settlements, and employee expense claims in accordance with approved procedures.
  • Track accounts receivable, accounts payable, outstanding advances, and other financial obligations.
  • Support payroll preparation and maintain related financial records and documentation.
  • Prepare monthly financial summaries, cash-flow reports and forecasts, expense reports, and other management reports.
  • Ensure financial transactions are accurately recorded, properly supported, and completed within required timelines.
  • Maintain organized and up-to-date physical and digital financial records.
  • Support annual and project-level budgeting, forecasting, and cash-management processes.
  • Track project-wise expenditure, budget utilization, cost allocation, and financial commitments.
  • Maintain project-wise financial records and support preparation of financial documentation, invoices, and expenditure statements required under client contracts.
  • Coordinate with project and business development teams to ensure costs are correctly allocated and supported by appropriate documentation.
  • Support preparation of project budgets and financial inputs for proposals, contracts, and client requirements.
  • Monitor actual expenditure against approved budgets and flag significant variances or potential financial risks.
  • Support implementation of financial controls, procedures, and budgeting processes aligned with TRACE's organizational requirements.
  • Assist management in maintaining visibility over short- and medium-term cash requirements.
  • Support annual and project-level budgeting, forecasting, and cash-management processes.
  • Track project-wise expenditure, budget utilization, cost allocation, and financial commitments.
  • Maintain project-wise financial records and support preparation of financial documentation, invoices, and expenditure statements required under client contracts.
  • Coordinate with project and business development teams to ensure costs are correctly allocated and supported by appropriate documentation.
  • Support preparation of project budgets and financial inputs for proposals, contracts, and client requirements.
  • Monitor actual expenditure against approved budgets and flag significant variances or potential financial risks.
  • Support implementation of financial controls, procedures, and budgeting processes aligned with TRACE's organizational requirements.
  • Assist management in maintaining visibility over short- and medium-term cash requirements.
  • Prepare clear financial summaries, analyses, and insights for leadership to support management decision-making.
  • Provide management with timely information on cash position, outstanding receivables, liabilities, budget utilization, and financial risks.
  • Coordinate with auditors, banks, vendors, consultants, clients, and relevant regulatory authorities on finance-related matters as required.
  • Support presentation and submission of financial information to clients, donors, auditors, regulators, and other stakeholders where required.
  • Assist with financial documentation required for project mobilization, contracting, procurement, and business development.
  • Perform other finance and accounts-related responsibilities assigned by the Managing Director & CEO.

Required Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • At least 3 years of relevant professional experience in accounting, finance, audit, or a related function.
  • Solid understanding of accounting principles, bookkeeping practices, financial reporting, and financial controls.
  • Practical experience with bank reconciliation, payment processing, vouchers, invoicing, and financial documentation.
  • Proficiency in MS Excel and standard accounting software such as QuickBooks, Tally, or similar platforms.
  • Strong attention to detail and accuracy in financial records and supporting documentation.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • Strong organizational and record-management skills.
  • Excellent written and verbal communication skills in English and Bengali.
  • High level of integrity, confidentiality, and professional judgment in handling financial information.
  • Part-qualified, qualified, or currently pursuing a professional qualification such as CA, ACCA, or CMA.
  • Experience working with consulting firms, donor-funded projects, development organizations, or professional services firms.
  • Familiarity with Bangladesh's VAT, income tax, withholding tax, and NBR reporting requirements.
  • Experience with project-wise budgeting, expenditure tracking, and financial reporting.
  • Prior experience supporting internal or external audits.
  • Familiarity with donor or client financial compliance requirements.
  • Ability to use AI/LLM tools such as ChatGPT, Claude, or Gemini responsibly for documentation, analysis, and productivity, with appropriate verification of outputs.
